Troop Board
The troop board is composed of the troop’s five top officers, the Troop Coordinator, Vice Coordinator, Troop Treasurer, Troop Shepherd, and Charter Representative. The troop board comprises the troop’s central ministry team collectively responsible for the troop’s policies and operations as a church ministry. Troop Coordinator
The Troop Coordinator serves as the troop’s chief executive officer. She is primarily responsible for serving as chair of the troop board, providing oversight for all troop operations, recruiting and training troop leaders, ensuring that all AHG policies and risk management guidelines are followed, and, together with the Charter Representative, maintaining a strong relationship with the church and the church’s pastor.
Vice Coordinator
The Vice Coordinator is the troop’s top program officer. She oversees troop meetings and helps the unit leaders to execute an organized program of troop activities. She also serves as the troop’s Girl Leadership Director, which helps to advise and guide the girls as they serve in various leadership roles within the troop.
Troop Treasurer
The Troop Treasurer keeps and maintains the troop’s financial accounts, serves as the troop’s liaison to the church bookkeeper, provides regular reporting to the troop board on the troop’s financial position, collects troop dues, and deposits all monies received by the troop.
Troop Shepherd
The Troop Shepherd ensures that the troop’s program remains centered on our Christian faith. She takes the lead on coordinating various faith activities, such as the troop’s participation in the Ten Commandment’s Hike, the Scout Mass, and the National Day of Prayer. She also coordinates the troop’s religious recognitions.
Charter Representative
The Charter Representative is an official representative of the church and the troop’s primary liaison to the church’s pastor. She ensures that all troop board members and adult leaders meet all diocesan requirements for fingerprinting, background screening, and youth protection training. She also assists the troop in securing room reservations of the church’s facilities.
Unit Leaders & Assistant Unit Leaders
The Unit Leaders and Assistant Unit Leaders are arguably the most important positions in any troop. Typically parents of girls in the unit, the Unit Leaders and Assistant Unit Leaders coordinate the program activities of the unit. In coordination with the Vice Coordinator, they execute program activities at troop meetings, assist in planning activities to help the girls advance through the AHG program, and help build the unit’s esprit de corps.
Committee Chairs
In addition to the troop board and unit leaders, the troop could not function effectively without additional parents stepping forward to chair various committees. Most of these duties could not be expected to be accomplished by any one family, so it is important for families to assist the troop by taking the lead on various aspects of the troop’s operations. This is not intended to be an exhaustive list, and these duties can be divided or combined based on the individual talents of our parents:
Registrar & Membership Chair
The Membership Chair is responsible for new member recruitment and orientation activities, including placing church bulletin announcements, coordinating altar announcements and membership tables, classroom visits, and assisting in the planning of new family information sessions. The Membership Chair also serves as the troop’s Registrar, managing all of the new member invites and registrations in AHGconnect.
Secretary & Historian
The Troop Secretary is responsible for keeping the minutes and other records of the troop board. She also serves as the Troop Historian and is encouraged to take photographs of events and manage the troop’s social media.
Advancement Chair
The Advancement Chair keeps the troop’s official records of girl advancements, currently maintained in TroopTrack, and helps coordinate award ceremonies, including the annual Court of Awards. She compiles information provided by unit leaders to facilitate the purchase of badges, patches, and awards. She also coordinates boards of review for level awards.
Fundraiser Chair
The Fundraiser Chair, in consultation with the troop board, is responsible for coordinating the troop’s fundraisers. If the troop conducts more than one fundraiser a year, more than one fundraiser chair may be appointed, for example a Fall Fundraiser Chair and Spring Fundraiser Chair.
Service Chair
The Service Chair is responsible for coordinating various troop service projects, including the AHG National Day of Service and Backpack Ministries. She helps guide older girls who need to lead or participate in a service project to meet level award requirements. She also keeps the troop’s official records of girl service hours, currently maintained in TroopTrack, and helps ensure that service stars are awarded to girls in recognition of their service.
Summer Activities Chair
The Summer Activities Chair helps to plan and oversee the troop’s series of summer activities.
